Scanning paper and turning it to PDFs is great, but if you do not scan wisely you could be putting a huge load on your back end systems. Without compression, scanned PDF documents can reach significant sizes impacting back-up, download speed and system management.

To get around this problem and to enhance efficiency we recommend using the Kofax PDF Compression Module.

PDF compression is an integral part of the Kofax Capture software and once on the license, is enabled by a tick box in the document class, PDF set up dialogue. It can be enabled with or without image and text on a per document class basis. For bi-tonal documents, the file size reduction is approx 50% and because it’s loss-less, the integrity of the document is maintained. Resultant PDF files can be marked for compliance with PDF /A – archive standard.

Benefits of Kofax PDF Compression

Readable Images:

Files are optimized for clarity ensuring that the content is still readable. The free Adobe Reader is all that is required to view the compressed files. Fast Throughput:

With Kofax PDF Compression, processing speed is not compromised. You get small, compact files with little to no impact on the PDF creation process.

Fast Document Transfers:

Smaller files are easier to share and don’t overburden your network. You can quickly upload, download, and exchange files as business needs dictate.

Reduced Storage Requirements:

Whether you are accessing the files daily or storing them for permanent archival purposes, compressed PDF files require less storage space than uncompressed files.

Out-of-the-Box:

Compression settings are configured via the Kofax Capture Administration module providing a single point of deployment.

Software Requirements

In order to upgrade to SharePoint Foundation 2010 or SharePoint Server 2010, you must first be running Windows SharePoint Services 3.0 at SP2 or Microsoft Office SharePoint Server 2007 at SP2, respectively. For customers running prior versions of SharePoint, including Windows SharePoint Services 2.0 and SharePoint Portal Server 2003, this means that you must first upgrade to Windows SharePoint Services 3.0 SP2 or Microsoft Office SharePoint Server 2007 SP2 prior to upgrading to 2010 versions. Windows SharePoint Server 3.0 with SP2 is available as a free download, and trial versions of Microsoft Office SharePoint Server 2007 are available and supported for use in this upgrade/migration process.

Additional Information and Notes

Please note that SharePoint Server 2010 Beta cannot be upgraded to the final release version (RTM). Any use of these steps or guidelines with any pre-release version of SharePoint 2010 should be for testing/evaluation only.

The upgrade path will necessarily mean a move from 32-bit OS architecture to 64-bit OS architecture. Windows SharePoint Services 2.0 and SharePoint Portal Server 2003 were supported only on 32-bit operating systems, as opposed to SharePoint Foundation 2010 and SharePoint Server 2010, which are supported only on 64-bit operating systems.

The database platform selected for Microsoft Office SharePoint Server 2007 or Windows SharePoint Services 3.0 should be consistent with the planned platform for Microsoft SharePoint Server 2010 or Microsoft SharePoint Foundation 2010. For example, if SQL Server 2008 will serve as the database software for the Microsoft Office SharePoint Server 2007 or Windows SharePoint Services 3.0 trial versions you should maintain that version for Microsoft SharePoint Server 2010 or Microsoft SharePoint Foundation 2010 to avoid downgrade support limitations such as SQL Server 2008 to SQL Server 2005. For additional information on SQL Server 2008 downgrade rights see: SQL Server 2008 Licensing Frequently Asked Questions

This whitepaper is directed towards CIOs, IT Pros, or anyone interested in how an Enterprise Content Management solution can positively impact their business. Enterprise Content Management (ECM) has become a business priority for many managers and executives – and that need will only become greater with continued proliferation of information that is created and distributed.

The Business Value of Microsoft SharePoint Server 2010 – Enterprise Content Management.

We strongly recommend this paper to those considering implementing an ECM system in their organisation. It details the challenges faced when implementing an ECM system and how the new release of SharePoint 2010 tackles these issues.

Download the white paper here

Executive Summary

Enterprise Content Management (ECM) has become a key business priority for most organizations. The amount of business information created and shared is increasing in size and speed every day, government compliance requirements are becoming more stringent, and key business tasks require accurate and fast access to records, documents, and other information. Without content management, information becomes chaos – unmanaged, not searchable, and processes rely more on employee institutional memory than technology. Additionally, users waste time looking for or recreating documents and information, and businesses may pay penalties for documents and information that are accidentally lost or released publicly.

Most business executives recognize the need for a robust ECM solution, but most traditional ECM offerings only provide comprehensive, mission-critical content management designed for a small set of users (working with a team, department, or content type) and focus on security and compliance over usability and collaboration. Enterprise Content Management with Microsoft® SharePoint® Server 2010 delivers both a high quality solution that stimulates and delivers user participation, and the tools for highly secure, well-managed content.

SharePoint Server 2010 enables companies to democratize content management and improve organizations by providing content management to all employees and compliance across all documents. This leads to better, faster, and more secure processes that can be managed through a familiar environment, integrated into business collaboration infrastructure, and built on a trusted and extensible platform. With ECM in SharePoint Server, you can:

Drive participation – Avoid chaos and end-user resistance

Ensure Compliance – Avoid risk by controlling unmanaged content, including Social content

Save Costs – Avoid high costs of point solutions, especially where not needed.
