The Deltascheme Request for Information (RFI) Handling Solution is a case management framework build entirely on SharePoint and is deployed as a web solution package.

Case management can typically be a complex system to get right, but through many years implementing case management solutions and our experience with SharePoint, we have built a case management framework that can be as simple or complex as you like. Since it is based on SharePoint and not 3rd party software, it is highly configurable and easy to use.

The RFI solution has been built to provide a SharePoint solution to manage requests for information relating to

Freedom of Information Act (FOI)

Data Protection Act

Environmental Information Regulations (EIR)

Complaints Management

…and any other request for information and case issues that you can think of.

Benefits

Benefits of the solution are

Auto Case File Creation. Automatically create a case file with predefined rules applying to it depending on the legislation the enquiry relates to. This ensures the right information is collected at the start of the process and correct time lines are followed.

Manage Costs. Manage the expenses and costs associated with an RFI. Dependant on the type of legislation, different costs may apply to the RFI.

Manage Timelines. Automatically manage time-lines dependant on whether the enquiry relates to the DPA, FoI or EIR legislation. This includes managing extensions if it is deemed by the Data Controller to be in the public interest.

Run Parallel Workflows. Manage parallel workflows if a request requires information from several different departments.

Reporting. Provide reporting on all RFIs across the organisation, detailing what was completed within the allocated timeframe and identifying those that fell outside of it.

Control Processes. Control and ensure the right processes are followed with an auditable log of activities.

Security. Automatic creation of roles and security enabling strict control of access and privileges to controlled information.

Help. Have help information available to users when they need it.

Extremely easy to implement and use.

The changes will make it easier for people to use FOI to find and use information about the public bodies they rely on, and their taxes pay for, by:

RapidRedact

Deltascheme uses Rapid Redact to provide redaction capabilities in the ECM solutions it delivers.

Whatever the volume of content for redaction, RapidRedact is a valuable tool enabling you to:

 quickly redact sensitive information

 keep information private and confidential

enjoy a more efficient and environmentally friendly process than manual redaction

audit and track which redactions have been made

automatically stamp documents with relevant FOI and DPA exemption codes.

 Benefits of RapidRedact

Appropriate for any electronic document, including Word, Excel, or PDF documents, scanned documents or images (such as TIFF, GIF & JPEG) and emails (including attachments), whether open source or read-only. No need for Adobe Professional.

Automatically redact lists of sensitive words and phrases.

RapidRedact can assign FOI and Data Protection Act exemption codes.

Suitable as a stand-alone redaction tool, or on a server accessed by multiple users.

Use for secure document conversion (eg MS Word to pdf or tif), even where redaction is not required.

Can be integrated with any ODMA compliant document management system.

Demonstrable sustainability improvements for organisations endeavouring to be environmentally friendly.

Offers a transparent audit trail copy of the redacted document for future reference.

Guards against identity theft by securely removing signatures, credit card numbers and addresses

Removes hidden data from Word Processing formats (authors, revisions etc.)

PDF’s

Until recently, many organisations have believed PDF documents with text blanked out with standard tools to be a “safe” method of redacting documents. However, often this text can still be found in the file, even though it is not visible in Acrobat. RapidRedact secures information contained in Word, Excel, e-mail and PDF documents.

Ease of Use
