Enterprise Content Management (ECM) has become a business priority for many managers and executives – and that need will only become greater with continued proliferation of information that is created and distributed.

The Business Value of Microsoft SharePoint Server 2010 – Enterprise Content Management.

We strongly recommend this paper to those considering implementing an ECM system in their organisation. It details the challenges faced when implementing an ECM system and how the new release of SharePoint 2010 tackles these issues.

Download the white paper here

Executive Summary

Enterprise Content Management (ECM) has become a key business priority for most organizations. The amount of business information created and shared is increasing in size and speed every day, government compliance requirements are becoming more stringent, and key business tasks require accurate and fast access to records, documents, and other information. Without content management, information becomes chaos “ unmanaged, not searchable, and processes rely more on employee institutional memory than technology”. Additionally, users waste time looking for or recreating documents and information, and businesses may pay penalties for documents and information that are accidentally lost or released publicly.

Most business executives recognize the need for a robust ECM solution, but most traditional ECM offerings only provide comprehensive, mission-critical content management designed for a small set of users (working with a team, department, or content type) and focus on security and compliance over usability and collaboration. Enterprise Content Management with Microsoft ® SharePoint ® Server 2010 delivers both a high quality solution that stimulates and delivers user participation, and the tools for highly secure, well-managed content.

SharePoint Server 2010 enables companies to democratize content management and improve organizations by providing content management to all employees and compliance across all documents. This leads to better, faster, and more secure processes that can be managed through a familiar environment, integrated into business collaboration infrastructure, and built on a trusted and extensible platform. With ECM in SharePoint Server, you can:

Drive participation – Avoid chaos and end-user resistance

Ensure Compliance – Avoid risk by controlling unmanaged content, including Social content

Save Costs – Avoid high costs of point solutions, especially where not needed.

What is an Intranet for?

Increasingly, intranets are being used to deliver tools and applications, (e.g. collaboration to facilitate working in groups and teleconferencing or sophisticated corporate directories, sales and customer relationship management tools, project management etc.) to advance productivity. Intranets are also being used as corporate culture-change platforms (e.g. large numbers of employees discussing key issues in an intranet forum application could lead to new ideas in management, productivity, quality, and other corporate issues).

When part of an intranet is made accessible to customers and others outside the business, that part becomes part of an extranet. Businesses can send private messages through the public network, using special encryption/decryption and other security safeguards to connect one part of their intranet to another.

Enterprise 2.0 comprises social software as used in "enterprise" (business/commercial) contexts. It includes social and networked modifications to corporate intranets and other classic software platforms used by large companies to organize their communication. In contrast to traditional enterprise software, which imposes structure prior to use, enterprise social software tends to encourage use prior to providing structure.

It is also defined by AIIM as a system of web-based technologies that provide rapid and agile collaboration, information sharing, emergence and integration capabilities in the extended enterprise.

Specific social software tools which programmers have adapted for enterprise use include:

hypertext and unstructured search tools

wikis

weblogs for storytelling

enterprise social bookmarking for tagging and building organizational folksonomies

RSS for signalling

collaborative planning software for peer-based project planning and management

ideas banks for ideation (idea generation)

social networking tools

mashups for visualization

prediction markets for forecasting and identifying risks.

Social networking capabilities can help organizations capture unstructured tacit knowledge. The challenge then becomes how to distill meaningful, re-usable knowledge from other content also captured in tools such as blogs, online communities, and wikis. This presents a challenge for Enterprise Content Management (ECM).

According to AIIM research shows that 54% of organisations consider Enterprise 2.0 to be important to their organisation’s overall business goals and success. 40% want to see it as part of their ECM suite, and 45% find it useful that an ECM suite offers a full range of Enterprise 2.0 capabilities. 25% of organisations are currently implementing Enterprise 2.0 functionality, and we are seeing a push for Enterprise and Web 2.0 within the US government.

Enterprise 2.0 is about being open and social, while Enterprise Content Management is usually about control. Many organisations have both requirements; they want free-form collaboration while ensuring regulatory compliance and control. This means that you need to plan for both to support your organisation moving forward.

To learn how you can improve collaboration without losing control, consider signing up to one of the AIIM ECM certification programs. Deltascheme can assist you by advising on appropriate technologies and turning requirements into real solutions.
