As a Microsoft Gold Partner, Deltascheme has worked with numerous organisations in the UK to successfully implement Microsoft Office SharePoint Server 2007 as the corporate Electronic Document and Records Management System. In delivering these systems we have identified the need for a number of external tools to enhance the standard functionality provided by SharePoint. This includes a Multi-file Uploader Utility which is implementad as a feature of SharePoint and a Document and Content Migrator.

Multi-file Uploader Utility

Microsoft Office SharePoint Server 2007 provides a Multi File Uploader Utility to enable you to quickly identify, select and then upload multiple electronic documents into SharePoint.

However, if SharePoint is being used as a Document and Records Management System you will then be required to apply metadata against each document to ensure they are stored in adherence to your organisations’ ‘content types’ and information management policies for security, retention and disposition. This process can be very repetitive and laborious so Deltascheme has provided an enhancement to allow you to apply a common set of metadata (e.g. Project Number, Client Number, Document Type, etc.) to every document you upload.

To find out more start by request the brochure at the bottom of the page or give us a call.

Document and Content Migrator for SharePoint

The Document and Content Migrator, has been designed to enable organisations to migrate large numbers of documents and other content from file stores into SharePoint.

It is a fast and extremely cost effective method of migrating content, with no coding, lengthy training or large software packages to install. It has been designed specifically for SharePoint and it caters for all requirements around metadata and content types.

Configuration allows users to copy across folder structures or flatten files. Key for records management is the preservation of original creation and modification dates.

To find out more, start by requesting the brochure or giving us a call.

This whitepaper is directed towards CIOs, IT Pros, or anyone interested in how an Enterprise Content Management solution can positively impact their business. Enterprise Content Management (ECM) has become a business priority for many managers and executives – and that need will only become greater with continued proliferation of information that is created and distributed.

The Business Value of Microsoft SharePoint Server 2010 – Enterprise Content Management.

We strongly recommend this paper to those considering implementing an ECM system in their organisation. It details the challenges faced when implementing an ECM system and how the new release of SharePoint 2010 tackles these issues.

Download the white paper here

Executive Summary

Enterprise Content Management (ECM) has become a key business priority for most organizations. The amount of business information created and shared is increasing in size and speed every day, government compliance requirements are becoming more stringent, and key business tasks require accurate and fast access to records, documents, and other information. Without content management, information becomes chaos – unmanaged, not searchable, and processes rely more on employee institutional memory than technology. Additionally, users waste time looking for or recreating documents and information, and businesses may pay penalties for documents and information that are accidentally lost or released publicly.

Most business executives recognize the need for a robust ECM solution, but most traditional ECM offerings only provide comprehensive, mission-critical content management designed for a small set of users (working with a team, department, or content type) and focus on security and compliance over usability and collaboration. Enterprise Content Management with Microsoft® SharePoint® Server 2010 delivers both a high quality solution that stimulates and delivers user participation, and the tools for highly secure, well-managed content.

SharePoint Server 2010 enables companies to democratize content management and improve organizations by providing content management to all employees and compliance across all documents. This leads to better, faster, and more secure processes that can be managed through a familiar environment, integrated into business collaboration infrastructure, and built on a trusted and extensible platform. With ECM in SharePoint Server, you can:

Drive participation – Avoid chaos and end-user resistance

Ensure Compliance – Avoid risk by controlling unmanaged content, including Social content

Save Costs – Avoid high costs of point solutions, especially where not needed.

SharePoint 2007 brought together document management, records management and web content management with a consistent user experience, architecture and platform. In the new release, SharePoint 2010 adds scale and depth in these areas as well advancing the user experience. According to Jeff Teper, VP SharePoint Server at Microsoft, the top five investment areas for SharePoint 2010 are:

Large Lists and Libraries – Microsoft have made architecture and user experience investments so you have much larger document libraries with metadata driven navigation to help users go quickly to the content that is most important to them. Libraries will scale to tens of millions and archives to hundreds of millions of documents. This is a key investment for high-end document and records management but also helps organizations with lots of smaller sites. Microsoft have enhanced the workflow capabilities and tools in SharePoint Designer.

Enterprise Metadata – Microsoft are addressing the feedback to support content types and taxonomies across not only across sites but also server farms. Theyhave made applying this metadata easy (and valuable to users) in both the SharePoint and Office client user experience. The top-down taxonomy and bottoms-up social tagging (sometimes called folksonomy) combine to help improve search, navigation and people connections.

Document Sets – Microsoft are introducing a way to manage a collection of documents as a single object for workflow, metadata, etc. within SharePoint and Office so experience more closely models your work product (e.g. a proposal that may contain a presentation, budget, contract, etc.).

Web Publishing including Digital Asset Management – Microsoft have made a number of key improvements to make it easier to publish rich sites on the intranet or internet. They used the new browser ribbon and editor experience to speed site customization, content authoring and publishing tasks. Microsoft added digital asset management features like thumbnails, metadata and ratings for images as well as video streaming from SharePoint. Finally, they have improved content deployment robustness from authoring to production for larger scale sites.

Governance and Records Management – Compliance is an increasingly important requirement for organizations. Microsoft have enhanced the Records Managements features in 2010 building on the scalable storage and enterprise metadata support described above. They have improved the sophistication and flexibility of the governance tools. Just a few new features include location-based file plans, multi-stage dispositions, in-place records and e-discovery.

As a Microsoft Gold Partner, Deltascheme has worked with numerous organisations in the UK to successfully implement Microsoft Office SharePoint Server 2007 as the corporate Electronic Document and Records Management System. In delivering these systems we have identified the need for a number of external tools to enhance the standard functionality provided by SharePoint Server 2007 including; a multi file upload utility, enhanced integration between SharePoint Server 2007 and Outlook 2003, improved searching using the document properties (metadata), forms based authentication for non Active Directory users and a comprehensive solution for delivering multistep forms based workflows.

Microsoft Office SharePoint Server 2007 provides a Multi-file Uploader Utility to enable you to quickly identify, select and then upload multiple electronic documents into SharePoint.
